Beginning Wednesday, Oct. 13, the Information Technology Division (ITD) will no longer use Social Security numbers in the administration of Unity computing accounts. The change will affect the process for creating Unity computing accounts for all new NC State employees and students, as well as the initial and default Unity passwords for individual accounts. The passwords used for systems provided by Network and Client Services (NCS) and NCS’ Groupwise e-mail/calendar environment will not be affected. The new account system will rely on the Campus ID Number to identify Unity account holders. This new password will serve as the default system password to be used whenever an account password needs to be reset by a system administrator. In addition to the new password for Unity computing accounts, the procedures for creating new accounts will also change. This change could impact when accounts and services will be available to new employees. Accounts are currently created after the new employee is first entered into the Human Resources system by departmental administrators. After Oct. 13, it will not be possible to create computing accounts for new employees until after the final approval of the hiring action by Human Resources. The changes in the Unity account creation process will not directly impact administrative computing accounts. However, since Unity accounts are created before administrative accounts (to ensure that the user name is unique) the creation of administrative computing accounts may also be delayed by the new Unity account creation process. In order to avoid delays in the creation of computer accounts for new employees, ITD encourages departments to finish the hiring approvals process at least 3 to 4 working days before a new employee reports for his or her first day of work. The process for requesting Unity accounts for guests of the university (contractors, visiting faculty, etc.) will also change. Departments needing Unity accounts for guests should enter these people into the HR system as “no-pay” employees. The Unity accounts will then be created automatically. When the guest is no longer affiliated with the university, the department can terminate the guest’s no-pay status, which will also disable the Unity account.
