ACC- April 2-4, 2009 NC State University: Program
Event Summary: Each institution will be limited to 6 student presenters plus the faculty representative. This will accommodate both the high costs of travel and the costs of the event. If some institutions bring fewer students then campus representative will be informed about how many additional students can be registered (first come first served basis). Total presentations will not exceed 72 for this event. Institutions should arrange for flight transportation to arrive between 2:30 and 5:30 p.m. on Thursday, April 2 as a way to reduce the shuttling back and forth during a heavy traffic period in the Research Triangle Park where the Raleigh-Durham Airport (RDU) is located (see below for return shuttle transportation).
The Brownstone-Raleigh Holiday Inn will be the site for all oral and poster presentations as well as overnight accommodations. At 6:45 p.m. on Thursday a large van will pick up only the faculty and take them to a special dinner at the NCSU Alumni State Club. All students will be on their own for dinner on Thursday night with many dinner spots near the hotel.
Planned are 45 oral presentations and 27 poster presentations. Oral presentations will occur as 3 concurrent topical sessions; 20 minutes talks with 3 talks per session; there will be 3 oral blocked sessions on Friday and 2 on Saturday morning. So, with 3 talks per session x 3 concurrent topical sessions x 5 sessions = 45 oral presentations (27 Friday and 18 Saturday). The poster session will occur during an extended lunch period on Friday from noon – 1:45 p.m. From 12:10 - 1:00 the even numbered posters (13 total) will be presented in an unseated, heavy finger-food lunch that will enable all to move about and see all posters; from 1:00-1:45 the odd numbered posters (another 14) will be presented. This will be followed by 9 oral presentations (3 per concurrent session) between 2:00 – 3:00 p.m. Mid-to-late afternoon (3:00-4:45 p.m.) will include separate breakout sessions for students and the faculty.
Friday evening from 5:30 – 9:00 p.m. will be at the NC Museum of Art where guided tours of exhibits will occur between 6:00 – 7:30 p.m. Dinner will be served between 7:30 -9:00 p.m and Dr. Mary Schweitzer will present her discoveries of soft tissue in Tyrannosaurus rex bones. Buses will transport both students and faculty.
Saturday we will have 18 oral presentations in six sessions between 9:15 a.m. and noon. Lunch will be served at the hotel and include a top campus speaker. Transportation from the hotel to the airport will be provided by vans between 1:30 and 3:00 p.m.; thereafter, arrangements for travel to the airport must be made by campus representatives. So, we recommend that you plan your plane departures according to this shuttle schedule. No programs, meals or shuttle service will be provided for those staying over until Sunday. Note that no oral presentation session lasts longer than one hour and that each session is followed by 15-20 minutes for interactive discussions between students and faculty who remain in the presentation room or who wish to chat outside of the presentation rooms. There are no accommodations for performing artists; however, we can arrange for visual art forms to be displayed during the poster sessions.
Each institution’s participants, including the faculty, must stay at the hotel even if they are from a nearby university. We should all include a racially/ethnically diverse group of students. Physically challenged students are welcomed and we ask for advanced notice in order to provide the best assistance for them. Your hotel cost will include a full breakfast between 6:45-8:20 a.m.
Emergency Information: Two hospitals are within 10 minutes of the hotel: Rex Healthcare Hospital (Lake Boone Trail and Blue Ridge Road) and WakeMed (3000 New Bern Avenue).
