Information Services Guidelines
This section outlines the guidelines and procedures for requesting reports, labels, and access to system applications, such as Advance™ and PeopleSoft. These guidelines and procedures will enable the Information Services department to establish reasonable priorities and better respond to the needs of the user and the overall needs of the University.
Reporting Guidelines & Procedures
To request a report or mailing labels, please complete the Report Request form in Advance. Once you have completed and submitted the form, an auto-generated e-mail will be sent to the Information Services department. If additional information is required, someone will contact you. If you are unable to access the Report Request form, please e-mail your request to Lisa McCain-Jackson.
If reports are requested on a regular basis, they can be created as a standard report. The requests for these reports will have a minimal turnaround time. For new requests, or if requesting significant changes to a previous report, please allow a turnaround time of five business days to complete the request.
Advancement Services maintains a database of current information for a variety of constituents. The staff of Alumni and Donor Records regularly enters and updates home and business addresses, phone numbers, job titles, marital status, and other important biographical data. Information Services uses the information to create invitation lists for fundraising and to generate mailing labels for publications and other correspondence. We will provide mailing lists, print address labels or provide data on a disk in a format for use in mail merges.
To keep our records as accurate as possible, we ask that any returned mail be forwarded to Alumni and Donor Records, Campus Box 7474.
Obtain Access to Advance™and the WebI Reporting Tool
To obtain access, you must first be registered in payroll and have a Unity id. You will need a unity id and password to login to My Pack Portal. After logging in, you will view the Information Security Acknowledgement form and click "I Agree." Once that form has been signed you should contact the person in your business office who submits SAR requests for your area. After your request has been processed, you will receive e-mail notification of your system ID. After receiving the e-mail, you should contact Wes Ardoin or call 919.515.9077 to set up Advance™ training. You will not be given access to Advance™ until you go through training.
You may use the process above to request access to the Web Intelligence (WebI) reporting tool. WebI access will enable you to run some of your own reports. Training is required before access will be granted. You may schedule training by contacting Wes Ardoin at 919.515.9077.
