Establish planning group composed of major stakeholders and designate a chair
Planning group should include those who could best address the necessary tasks such as
Program
Budget
Invitations / RSVP
Protocol
Venue
Signage
Reception
Publicity
Hold first meeting at least four months prior to event
If chancellor will be involved, contact his office immediately to determine available dates
Schedule meetings on a biweekly basis until one month before event and then as needed
Assign responsibilities for tasks and determine due dates for each task
Planning group makes programming recommendations to chair for approval
Send printed agenda to each planning group member prior to each meeting that include tasks and due dates (Suggest using the Timeline / Checklist document)
Send minutes of each meeting to each planning group member (Could be in the form of Timeline / Checklist document)
