Planning Group

    • Establish planning group composed of major stakeholders and designate a chair
    • Planning group should include those who could best address the necessary tasks such as

      • Program
      • Budget
      • Invitations / RSVP
      • Protocol
      • Venue
      • Signage
      • Reception
      • Publicity
    • Hold first meeting at least four months prior to event
    • If chancellor will be involved, contact his office immediately to determine available dates
    • Schedule meetings on a biweekly basis until one month before event and then as needed
    • Assign responsibilities for tasks and determine due dates for each task
    • Planning group makes programming recommendations to chair for approval
    • Send printed agenda to each planning group member prior to each meeting that include tasks and due dates (Suggest using the Timeline / Checklist document)
    • Send minutes of each meeting to each planning group member (Could be in the form of Timeline / Checklist document)
