OFFICIAL BUSINESS ONLY
The University Mail Services is a tax-supported service
exclusively for official business. Long established University policy
prohibits its use for private purposes. "Private Use" includes sending
such materials as chain letters, political notices, advertisements
and all other materials not related to the conduct of University
business.
MAIL-RELATED SERVICES
For your convenience, University Mail Services will coordinate
procurement of the following services from a local contractor: folding,
envelope stuffing (insertion), sealing, tabbing, metering, and collating.
Customized discount bulk mailing is available for certain types
of mail. For a complete explanation of various mailer’s services.
See Contract Mailer Services.
MAIL SERVICES WORKSHOPS
Notices are sent to each department announcing the dates
and locations. These workshops are conducted periodically for new
employees who handle mail or for other interested parties.
REQUESTING A CAMPUS BOX
All requests for a campus box should be sent to Manager, Mail
Services, Campus Box 7540. Requests for campus boxes are evaluated
on an individual basis. For logistical reasons, individuals and
groups requesting a campus box may be placed under an existing
campus box for the delivery of mail.
INCOMING AND OUTGOING MAIL
Incoming U.S. Mail is received from the Postal Service
and delivered campus-wide once a day.
Outgoing U.S. Mail is collected once a day from locations within
designated buildings on campus. All U.S. mail requiring postage
is metered by University Mail Services. All 1 oz. and 2 oz. letter
mail is sorted in zip code order by a private contractor prior to
delivering to the U.S. Postal Service. Mail sorted by private contractor
will generally be outbound sooner than unsorted mail entered directly
into the Postal system.
CHARGES AND MONTH END REPORTS
All postage charges are tabulated by Mail Services and posted daily
to the specified account number. At month end, departments will
receive a service unit invoice of all postage charges made against
their departmental accounts. This invoice should be reviewed for
accuracy. Any questions relating to the billing should be directed
to Mail Services, 515-9857.
