Congratulations on getting a job on campus.  Below you will find information and instructions you will need to make sure you receive you paycheck each pay period so please read carefully.

Attention: Student Employees who are also Foreign Nationals need to follow the instructions on the "For Foreign Nationals" section of this website. 

Employee Self Service

Employee Self Service (ESS) is an online resource accessible from anywhere there is an internet connection.  Through ESS you can complete your Direct Deposit enrollment, change your tax withholding, view and print your pay statement and W-2 Wage and Tax Statement and more. To access ESS, log into MyPack Portal using your unity ID and password.  From your MyPack Portal homepgae, click on the "For Faculty & Staff" tab at the top of the page.  You will see "Employee Self Service" in the top, middle portion of the screen.  You access to Employee Self Service should be availalbe on your first day of employment.  If you do not have the "For Faculty & Staff" tab  on your first day, check with your department. They need to enter your "new hire" information into the HR system before you are granted access to Employee Self Service.

Direct Deposit

 

All employees, including student employees,  are required to enroll in Direct Deposit as a condition of employment.  See REG05-45.01 for more details.  Even if you have already signed up for Direct Deposit in the Student Information System you will also need to sign up in the HR system.  For confidentiality purposes the two systems do not share your bank account information.

To enroll, go to the “Employee Self Service” section of MyPack Portal and choose the option "Payroll & Compensation".   Select the “Direct Deposit”  option on the “Payroll and Compensation” page.


Entering your bank account information

 

You have the option of depositing your paycheck into one, two or three bank accounts.  You'll need to know the routing number and account number for each account.  These numbers can be found on the bottom of your personal checks.  If you do not have checks or if you are depositing part or all of your paycheck into a savings account, contact your bank for the routing number and account number for each account. (The number on your ATM or Debit card is NOT your account number)

The deadline for entering this information for each payday is listed on the bi-weekly payroll schedule.

If your direct deposit information is not entered in time for the next payroll process or if it is entered incorrectly (and thus, rejected by the bank) a paper check will be issued. You will receive an email from Univesity Payroll with instructions on when and where to pick up that check. 

Federal Work-Study Participants Only: Work-Study students are not required to enroll in the University's Direct Deposit program, but are encouraged to receive their pay by direct deposit. Those choosing to receive a check will need to pick the check up each pay period in the Payroll Office.

Tax Withholding

 

Note: The following does not apply to Foreign Nationals. Please see the Instructions for New Foreign National Employees for the appropriate information. 

Upon hire, the tax withholding for all new employees, including student employees, is set to marital status = Single and number of personal allowances = 0.. 

If you want to claim Single, 0 you do not need to do anything.

However, if you wish to claims something other than Single, O you can change your tax withholding online via “Employee Self Service”. Click on “W-4/NC-4 Tax Data" listed under Payroll and Compensation.  Once you open the tax application page you will see two columns, one for Federal and one for North Carolina StateWithholding.  You can submit a new Withholding Allowance Certificate at any time.  

If you are unsure as to what you should claim, you can review the instructions or  discuss the matter with your parents or a tax advisor. 

Attention Students receiving a Fellowship/Scholarship: Be sure to review the tax withholding and reporting requirements for Fellowships/Scholarships.

Pay Schedule

 

All Student employees are paid bi-weekly  (every other week), usually on a Friday unless Friday is a University holiday.   Employees paid on the bi-weekly payroll are paid two weeks in arrears.

W-2 Year End Tax Statement

In January of each year, the University will provide you with a W-2 Tax and Earnings Statement for the wages you received in the prior calendar year. 

You can review and print the W-2 in Employee Self Service or we can print you a copy  If you prefer to print your own copy please let us know by “consenting” to not receive a paper copy from us. 

Under Payroll and Compensation you will see W-2/W-2c Consent.  Just check the box and follow the instructions for confirming your consent. 

To view and print your W-2 via Employee Self Service, click on "View W-2/W-2c Form" on the "Payroll & Compensation" page.  You will be sent an email in January when the W-2s are available for printing.
