ITD/Systems Group*
Global Vacation/Sick Leave System

A Global Vacation/Sick Leave System has been established for this "*defined group." It allows others within the same "group" to know who is present/not present on a given day and who has upcoming leave scheduled.

Calendars may be set up for other groups. For assistance in establishing a calendar for a defined group contact your calendar node administrator.

Prerequisites:

  1. CorporateTime® must be installed in your organization and all members of your group must have access to it.
  2. You must be a member of a "defined group." If you are not, contact your calendar node administrator.
  3. You must be familiar with using the CorporateTime® calendaring system. If you are not, visit the NC State Corporate Time Project Web page or enroll in a CorporateTime® workshop.

Using the Global Vacation/Sick Leave Calendar

You may use the same CorporateTime® functions and commands in a group calendar that you use in your personal calendar. Changes that you apply to the group's calendar are automatically posted to your personal calendar as well.

CorporateTime® allows others in the same group to know who is present/not present for a given day and who has upcoming leave scheduled. It may be used by authorized group members to:

Sign-In to CorporateTime®

  1. If you are using a Unity computer, double click on the CorporateTime® icon in the Novell Application Launcher (NAL) or
  2. Open the CorporateTime® application
  3. Enter your Unity ID and password in the "Sign-in" box

  4. sign in

  5. Click on "Sign-in"
  6. Next, a box will appear asking if you want an off-line agenda. This is usually not necessary and most of the time your response will be "No".

  8. Next, the "In Tray" box will appear.

    You are now ready to open the agenda for your group's calendar.


Open the Agenda for your group's calendar

open task

  1. To open an agenda, you may enter "CTRL + A" or from inside either the "In Tray" or an already open agenda, click the "Open Tasks (Ctrl+T)" icon or you may choose "File > Agenda > Open" menu item.
  2. Type "vacation" in the "Open Agenda for" box.

  3. open agenda
  4. Select "OK."

  5. select name

  6. Select the "Vacation & Sick Leave" name for your group; e.g., "Vacation & Sick Leave (Systems)."
  7. Select "OK."

You are now viewing your group's calendar and may proceed to Add, Change or Delete calendar entries.


To add an entry to the group's Vacation/Sick Leave calendar:

  1. If not already Signed-in, Open and Sign-in to CorporateTime®
  2. If not already open, Open the Agenda for your group's calendar.
  3. Select the time slot on the specific day that you will be absent. To select more than one slot, drag the cursor down the desired block of time slots.
  4. Right click on the selected area and choose "New Meeting..." (or double click in the selected area) to open the "New Meeting" window.

  6. In the "New Meeting" window, type either "Vacation" or "Sick Leave" along with your name in the "Title" box. This will allow easier interpretation when someone looks at the group's Vacation/Sick Leave Calendar.

  7. You will need to "invite" the vacation/sick leave user to attend your meeting. Do this by typing the word "vacation" in the "Add" textbox under "People/Resources."
  8. Select the green checkbox icon.
  9. Select the "Create" button at the bottom of the panel.
  10. To add other entries, repeat steps 3 through 8 above.

Using this procedure, you will accomplish all of the following:

  • post your vacation/sick leave to your personal calendar
  • post your vacation/sick leave to the group's calendar
  • alert people trying to schedule you that you will could not attend a meeting on that day

When you are finished, you may continue to view, add, change or delete calendar entries or you can close the agenda view window and you will be back in your personal CorporateTime® agenda or you may exit CorporateTime®.


To change an entry in the group's Vacation/Sick Leave calendar:

You can change your scheduled vacation/sick leave times posted in the group calendar by performing the following in your CorporateTime® client.

To change your scheduled Vacation/Sick Leave calendar entries:
  1. If not already Signed-in, Open and Sign-in to CorporateTime®.
  2. If not already open, Open the Agenda for your group's calendar.
  3. Select the entry on the specific day you want to change.
  4. Double click the selection to open up the "Edit Meeting" panel.
  5. Make the appropriate changes.
  6. Select "OK."
  7. To change other entries, repeat steps 3 through 6 above.

Your entry in both the group's calendar and your personal calendar will now be changed.

When you are finished, you may continue to view, add, change or delete calendar entries or you can close the agenda view window and you will be back in your personal CorporateTime® agenda or you may exit CorporateTime®.


To delete an entry from the group's Vacation/Sick Leave calendar:

To cancel your scheduled Vacation/Sick Leave, you can simply delete it. This removes the entry from the group Vacation/Sick Leave calendar and from your personal calendar as well.

To delete a scheduled Vacation/Sick Leave calendar entry:
  1. If not already Signed-in, Open and Sign-in to CorporateTime®.
  2. If not already open, Open the Agenda for your group's calendar.
  3. Browse through the complete list of vacation and sick leave times for your group and select the the entry on the specific day you want to change.
  4. Right click and select "Delete Meeting" (or just press the "Delete" key).
  5. To delete other entries, repeat steps 3 through 4 above.

Your entry in both the group's calendar and your personal calendar will now be removed.

When you are finished, you may continue to view, add, change or delete calendar entries or you can close the agenda view window and you will be back in your personal CorporateTime® agenda or you may exit CorporateTime®.


Viewing the Group's Vacation/Sick Leave Calendar

You can view all the scheduled vacation/sick leave times for the group by performing the following in your CorporateTime® client.

To view vacation/sick leave times on the group's calendar:
  1. If not already Signed-in, Open and Sign-in to CorporateTime®.
  2. Open the Agenda for your group's calendar

You will now be able to browse through the complete list of vacation and sick leave times for your group.

When you are finished, you may continue to view, add, change or delete calendar entries or you can close the agenda view window and you will be back in your personal CorporateTime® agenda or you may exit CorporateTime®.
