Reserving the ITD Conference Room

The ITD conference room is a valuable and essential resource that must be managed fairly and wisely. The conference room will be scheduled on a first come, first served basis, with the following exceptions:

  • Certain high-priority, repeating university and/or divisional meetings will be scheduled at the beginning of each semester for the entire semester. The scheduling of these meetings must be coordinated with Judy Beaver, to ensure appropriate sensitivity to organizational priorities and justification of need.

  • Video conference meetings will receive priority consideration, and a face-to-face meeting can be bumped in favor of a video conference meeting only if all the following conditions are met:
    • the bump request is made at least one full week in advance (including notification to the affected party) and
    • the meeting to be bumped is not officially designated as high priority and
    • the meeting to be bumped does not present untenable rearranging/rescheduling problems. Untenable problems can be the result of some combination of factors including number of attendees, timing constraints, and unavailability of suitable space elsewhere.
  • Schedules may be rearranged by mutual agreement, but such rearrangements must be coordinated with Judy Beaver.
