Receiving & Responding to Applications

Once advertisements have been posted, you will begin to receive applications. The search committee should respond to each applicant with an acknowledgement letter that includes a referral to the EEO Data Form. Please see EEO Data Form & Instructions for more information.

Our best recommendation is to get organized early. Instruct the person serving in the support role for your committee to create a file for the search. This file will hold the applications and other items; be sure that each application item is dated to show when it arrived in the office. The file will also hold all associated search paperwork, including advertisement postings from all sources; a copy of the acknowledgement letter; any correspondence from or to applicants (including email); notes from screening sessions and interviews; and rating sheets. All of these items must be kept in the file for a minimum of two years.
