1. Purpose

This statement explains the procedures for the transfer of assets in the Capital Assets Management System (CAMS).

2. General Guidelines

Transfers are recorded on the University's inventory when there is a permanent change in asset location or physical custody (e.g., from one department to another). If the equipment is temporarily loaned or relocated and the intention is to reclaim the item in the near future, the asset record need not be changed.

3. Procedures

3.1. Form CA - 4(Equipment Transfer Disposition Request) must be used if the asset is relocated or if there is a permanent change in physical custody of the item. Transfers may occur as a result of changes in any of the following:

3.1a. Department

3.1b. Building OUC

3.1c. Roo

The physical custody of the equipment is the responsibility of the college/department. All transfer data submitted to CAMS must be accurate in order to ensure the reliability of the University's inventory.

4. Form

Form CA - 4, Equipment Transfer Disposition Request, may be obtained from the Capital Assets Office, extension 5- 2148 or downloaded from the web and copied for use by colleges/departments.

5. Instructions for Completion of Form

5.1. Equipment Transfer Disposition Request - (CA - 4)

5.1.1. Enter CAMS tag number. A separate form should be used for each transfer.

5.1.2. Enter a short description of the asset.

5.1.3. Indicate the college/division/department initiating the request. For equipment transfers, this will usually be the department from which the equipment is transferred.

5.1.4. Enter date of transfer.

5.1.5. In the Transfer Section, enter building, 6-digit OUC (department number), and room number for the old location.

5.1.6. Enter building, 6-digit OUC (department number), and room number for the new location.

Form must be signed and dated by supervisor, department head and the CAMS Coordinator for the new location.
