Pie, bar and line charts are most frequently used to depict data graphically. Research has shown that representing
data graphically gives the observer a more accurate picture of the data. This allows for better recall of the
information being presented.

In addition to "Creating a Pie Chart," the following links will take you step-by-step through the processes listed
below for using Microsoft's Excel 2000 software:

Creating a Pie Chart
1. Open the "gradebook" spreadsheet which you saved on the desktop after completing "Entering Data." To create a chart, the cells which are to appear in the chart need to be highlighted.
2. Click on Insert from the menu bar and choose Chart. The following dialog box will appear.

3. Choose Pie from the Chart Type column.

4. Under Chart sub-type, select the first type of pie chart. Click Next.

5. The dialog box displays the cells that were selected in a pie chart and shows the students' names in the legend on the right hand side. Click Next.
6. A dialog box is displayed in which you can add a title to your pie chart. Also, the percentage which each slice represents can be added to increase the descriptive nature of the chart. Add the title, "My Gradebook" to the Chart Title box. Notice how the title changes from Test 1 to My Gradebook above the pie chart.
7. Click the Data Labels tab.
8. Click on the "Show percent" radio button under Data Labels. The percents are now shown next to each section of the pie chart.

9. Click on the "Show label and percent" radio button under Data Labels. The percentages and the name of the student are shown next to each section on the pie chart. Click Next.

Note: Only one of the choices can be chosen at a time. For example, when you click on the "Show label and percent" radio button, the previous radio button selection is no longer highlighted.

10. Click on the radio button next to "As object in:." This adds the pie chart to the spreadsheet. If "As new sheet" is chosen, the pie chart will be opened as a new chart. Click Finish.
Moving and Resizing a Chart
A chart can be placed anywhere within the spreadsheet. To move the chart, click inside the chart any where within the white area. Hold down you left mouse button and drag the chart to the desired location.
The chart tool bar can be used to edit the chart characteristics once it has been placed in the spreadsheet.

When you have finished editing your chart, click the x in the right hand top corner to remove the toolbar from your screen.

Note: To reopen the chart toolbar, select View from the menu bar and click on Toolbars then Chart. The chart toolbar will once again be visible on your spreadsheet.

The chart can be resized to the size of the spreadsheet by clicking on the handles on the sides and corners of the chart. Save your revised gradebook on the desktop as "gradebookchart."
Creating Bar and Line Charts

Bar and line charts can be created in much the same way as the pie chart was created.

1. Open your original "gradebook" spreadsheet.

2. To create a chart, the cells which are to appear in the chart need to be highlighted.
3. Click on Insert from the menu bar and choose Chart. The following dialog box will appear.

4. Choose Column from the Chart Type column.

5. Under Chart sub-type, select the first type of column chart. Click Next.

6. This dialog box shows how your chart will appear in the spreadsheet. Click Next.
7. In this dialog box, add a chart title and labels for your x and y axis. Click Next.
8. Click on the radio button next to "As object in:." This adds the bar chart to the spreadsheet. If "As new sheet" is chosen, the bar chart will be opened as a new chart. Click Finish.

9. The chart is now added to your spreadsheet. Resize it to the desired size. Save as "gradebookcolumn."

As you can see, this is a much better representation of the data than the pie graph was able to show.



A line chart is created in much the same manner as the bar and pie charts.

1. Open your original "gradebook" spreadsheet.

2. Highlight all of the cells in the spreadsheet.

3. Click on Insert, then Chart.

4. Choose Line from the Chart Type column.

5. From the Chart sub-type, select the first type of line chart. Click Next.

6. The dialog box shows how your chart will appear in the spreadsheet. Click Next.

7. In this dialog box, add a chart title and labels for your x and y axis. Click Next.

8. Click on the radio button next to "As object in:." This adds the bar chart to the spreadsheet. If "As new sheet" is chosen, the bar chart will be opened as a new chart. Click Finish.

9. The chart is now added to your spreadsheet.

Printing a Spreadsheet and a Chart
1. Click on File, then Page Setup and Print Preview to see how your chart and spreadsheet will look when it is printed out.

2. Sizing or moving the chart may be necessary to print both items on the same page.

3. Select File, then Print when the chart is arranged properly and the appropriate size.
