5-6.8 RECORD KEEPING BY TEACHER

The office of Independent Studies reports to the Department of Registration and Records all final grades in Independent Studies courses received by NC State University students, using the same grading system as used by instructors teaching courses in residence. Such grades then become a part of the student's permanent academic record subject to the appropriate regulations. Copies of the grade reports are sent to the deans, department heads, and faculty advisers of students enrolled in degree programs.

GRADEBOOK

The teacher should maintain a gradebook, or other grade record, and in it should clearly record each grade for each graded student assignment. The record should include indications of attendance (where required by instructor or University Policy), excused and unexcused absences, late work, resubmitted work, etc. Gradebooks should be retained by the teacher for several years in case they are needed as reference to explain or defend a challenged grade, or to provide information when preparing letters of recommendation. The gradebook should indicate how final grades were calculated. It should be understood that the gradebook may be used by another teacher in the event of illness or other eventuality resulting in the instability of the initial teacher to complete the course.

GRADE ROLLS

Each teacher will receive a final Grade Report Roll (red) prior to the final examinations. This roll must be returned to Registration and Records within 48 hours after the examination. For final exams when given on the last day of the examination period, the deadline for turning in grade rolls is 12:00 noon on the second day after the last day of the examination period.

 Graduation Grade Report Rolls (green) contain the names of the students expecting to graduate at the end of the current semester, It is very important that these rolls be returned by the date and time due. A teachers's failure to turn in the Graduation Grade Report Roll may prevent students from being cleared for graduation.

REVISED CLASS ROLLS

Following the end of the second week of the semester, the Department of Registration and Records will issue revised class rolls. The rolls should be used to call attendance in each class. Students who are in the class, but whose names do not appear on the Revised Rolls, should go immediately to Registration and Records (1000 Harris Hall) to be certain they are registered in the courses/sections they are attending.
