M+ Guardian FAQ

 

What does M+ Guardian do?

M+ Guardian scans ALL incoming internet email for suspected SPAM, questionable attachments and viruses before it reaches the GroupWise system. If M+ Guardian intercepts any email messages that meet those requirements, it places it in quarantine and sends a Quarantine Report to your account the next morning. This report lists all blocked attachments, viruses and SPAM messages that have been quarantined in the last 24 hours.

How do view messages in my Quarantine?

Customers have three options for viewing the contents of their quarantine. 

  • If you have email messages that have been quarantined, your GroupWise account will automatically receive a Quarantine Report via email every morning shortly after 6:00am.  The Quarantine Report will read “Daily Quarantine Report” in the subject line. The body will list any messages that have been placed in quarantine in the last 24 hours.
  • Log into the Web Quarantine site (https://gw.ncsu.edu/) to view any messages that have been quarantined.  Log in using your full email address (i.e.  userid@gw.fis.ncsu.edu) and your GroupWise password. 
    Note: You must have a password on your GroupWise account to log in to Web Quarantine. To add a password to your GroupWise account, open the GW desktop client and navigate to Tools -> Options -> Security.
  • Create a folder in your GroupWise mailbox that will show you all messages that are in your Quarantine.  (Click here for instructions on creating a SPAM folder.)

I used to get a Quarantine Report every day.  There are some days that I don't receive one now.  Why?

With the upgrade to M+ Quarantine, there is a change in the amount of information on the Quarantine Report.  The Daily Quarantine Report only contains information for the previous day (24 hours).  If you did not receive SPAM in the previous day, you will not receive a Quarantine Report for that day.

How do I release a SPAM message from my Quarantine Report?

Inside the Quarantine report, the SPAM messages will give you the option of Releasing, Reporting or Allowing an individual message by clicking the appropriate option.  Clicking the “Release” option will send the message to your GroupWise account mailbox. 
From the Web Quarantine, click on the SPAM button on the top of the screen.  Highlight the message you wish to release and click the Release button.

How will I know if I receive a message that contains a virus?

You will receive an email message indicating that you received a message that contained a virus with information about the sender and type of attachment.

How do I release a message that has been Quarantined without waiting for my Quarantine Report the next morning?

There are two options for viewing your Quarantined items before you receive a Quarantine Report.

  • You may log in to the Web Quarantine site to view messages that have been quarantined.  To log in, visit https://gw.ncsu.edu/.  log in using your full email address (i.e.  userid@gw.fis.ncsu.edu) and your GroupWise password.  (Note: you must have a password on your GroupWise account to log in to Web Quarantine.)
  • Create a folder in your GroupWise mailbox that will show you all messages that are in your Quarantine.  (Click here for instructions on creating a SPAM folder.)

How do I log in to the M+ Guardian Web interface?

Visit https://gw.ncsu.edu/.  Log in using your full email address (i.e.  userid@gw.fis.ncsu.edu) and your GroupWise password.  (Note: you must have a password on your GroupWise account to log in to Web Quarantine.)

How do I delete a message from Quarantine?

With M+Guardian it is not necessary to delete your quarantined messages on a daily basis.  The messages in your quarantine will expire and delete every 15 days.  If you wish to delete them manually, you may do so by logging into the Web Quarantine. First, click on the SPAM tab at the top of the window.  Next, highlight the message you wish to delete and click on the delete button at the top.  To delete a group of messages, click on the first message and shift-click on the last message, then click on the delete button.  To delete all of your SPAM messages, click the 'Delete All' option.

Can I view the contents of a quarantined message?

Yes. Customers can now view the contents of messages in their quarantine by logging into the Quarantine Web interface. After you are logged in select a message and then select the 'View' option.

When I login to the Web Quarantine, I don't see an option to View or Release my SPAM.  How do I view/release it?

The Web Quarantine page automatically comes up on the Summary screen.  To release or view SPAM, click on the "Spam" tab at the top of the screen.

I see an “Allow” and "Allow Domain" option on my Quarantine Report.  What do they mean?

Addresses in your "Allow" list will be delivered directly to your GroupWise mailbox and will not be stopped in Quarantine. 

Clicking on the “Allow” option will add the address from which that particular email message came from to your "Allow" list. 

Clicking on the "Allow Domain" option will add the whole domain to your "Allow" list.  

For example, you receive a message from abc@xyz.com.  If you click the "Allow" option, the address abc@xyz.com will be added to your "Allow" list meaning that any messages coming from that specific address will be automatically sent through to your mailbox.  If, however, you choose the "Allow Domain" option, it will add @xyz.com to your "Allow" list meaning that email from any address ending with @xyz.com will automatically come through to your mailbox.  Please keep in mind that adding a whole domain to your "Allow" list may increase the SPAM you receive in your mailbox.

I see a “Block” and "Block Domain" option on my Quarantine Report.  What do they mean?

Messages from addresses in your "Blocked" list will be automatically quarantined and never delivered to your GroupWise mailbox.

What is the "File" section?

Messages that come into the mail system with attachments that are deemed possibly unsafe will appear in the "File" section of your quarantine report.

What is the "Content" section?

Forbidden content is any type of prohibited content containing words or expressions that the system administrator has banned.

Why can’t I release messages that have been quarantined in the Virus or File sections of my Quarantine?

For security reasons, M+Guardian does not permit the release of messages which contain a virus or an attachment that is on the forbidden attachment list.  If you need an attachment that has been quarantined in the File section of your Quarantine Report, you can highlight the message you need and click the "Report" option.  This will bring up a box in which you can type a message indicating that you need the file released.  The Help Desk will assist you with these requests.  Please note that messages in the Virus section of the Quarantine report cannot be released by administrators for security reasons.

I see a "Report" button on several screens in Web Quarantine.  What does it do?

Highlighting a message in your Quarantine and choosing the "Report" option will send an email message to the Help Desk about that particular quarantined message.  You will receive a pop up box when choosing the "Report" option in which you should type a message indicating what kind of action is needed.

Because they are common carriers of viruses and worms, all attachments with the following extensions will be blocked by M+Guardian:

Messages that come into the mail system with attachments that are blocked will appear in the "Files" section of your Quarantine report.

In addition, files with multiple extensions (ex. mydoc.doc.exe) will be blocked by M+Guardian.

What if M+Guardian is consistently blocking messages from a legitimate source?

From the Quarantine Report, you may add the sender of the message to your 'Allowed sender list'. When the sender is on your allowed sender list, all future messages from that email address are allowed to pass into your GroupWise mailbox and will not be quarantined.

What is an allowed sender list?

An Allowed sender list is a list of trusted addresses which may send email to your GroupWise account.

How do I add a sender to my Allowed sender list in M+Guardian?

You can add senders to your Allowed sender list in one of two ways.            

  • From your Quarantine report, choose the “Allow” option next to a message from the sender whom  you wish to add, or
  • Log in to Web Quarantine.  Click on the Lists button in the top right corner of the window.  Type the address in the provided box and click the Add button.

What is a blocked sender list?

A 'blocked sender list' is a list of addresses that are deemed unsafe or undesirable. Your blocked sender list is a list of email addresses that will not be allowed to send email to your GroupWise account. All messages sent from these addresses will be automatically quarantined.

How do I add a sender to my blocked sender list in M+Guardian?

Log in to Web Quarantine.  Click on the Lists button in the top right corner of the window.  Type the address in the box in the “Block” windows and click the Add button.

Is it possible for a virus get through the M+Guardian scan?

When a new virus is released on the internet, there is a small window of time when the virus scanning manufacturers have not yet created the virus 'definition' which is used to detect and delete the virus from the infected email. During this time, the virus scanning software will not recognize the new virus. It typically takes between 2-8 hours for the virus definition to be created. M+Guardian is updated with the latest virus definitions every 15 minutes or as frequently as new virus definitions are distributed. This will help minimize the chance of viruses entering the system.

Why is mail that I consider SPAM still showing up in my mailbox and what can I do about it?

M+Guardian uses a variety of methods to determine if an email message should be considered SPAM. Even so, it is not 100% efficient and some SPAM may get through. Also, some email that you consider to be SPAM may not meet the criteria that M+Guardian uses to classify a message as suspected SPAM.  If you do not wish to receive messages from that address again, you may add them to your Blocked sender list.

How long do my messages stay in Quarantine?

Messages are placed in Quarantine for 14 days.

Can I release Quarantined messages using the GroupWise web client?

Your Quarantine report works exactly the same from the GroupWise web client as the GroupWise desktop client. You may release or delete SPAM using GroupWise on the web.

When I release a message from Quarantine, why doesn't it disappear from the Quarantine Report?

The Quarantine report is a static report and is not interactive. The links on the Quarantine report may be used to release or delete messages from quarantine but the messages will not immediately disappear from the report.

Where do I find the messages after I have released them from the Quarantine Report?

The messages will be released into your GroupWise mailbox.  The message may not appear immediately, sometimes it will take a few minutes depending on the traffic on the GroupWise post office.  If the message does not appear in your GroupWise mailbox after a reasonable amount of time, verify that the address is not included on your GroupWise 'Block List'.  You may also check your GroupWise rules to verify that messages received from that address are not automatically deleted or moved to a different folder.

How do I create a folder in my GroupWise mailbox to view my Quarantined items?

Customers can access their live quarantine from their GroupWise mailbox by creating an IMAP account which points to the M+Guardian server.

Can I change my Settings to only keep 7 days of SPAM in my Quarantine rather than 14 days?

Yes, you can change the amount of days your SPAM is kept in Quarantine.   To do so, login to the Web Quarantine (https://gw.ncsu.edu) using your GroupWise address and password.  Click on the Options tab on the top right of the screen.  Change the Quarantine Management Action from "System Default" to "07 days."

I don't want to receive a Quarantine Report every day, I'd rather check my Quarantine through the Web interface or through an IMAP folder I've set up.  Can I choose not to receive a report?

Yes, you can turn off the option for Quarantine Reports.  To do so, login to the Web Quarantine (https://gw.ncsu.edu) using your GroupWise address and password.  Click on the Options tab on the top right of the screen.  Change the Quarantine Report Action from "System Default" to "No Report".
